Reach Ops · in daily use at a multi-branch retail chain

Your people, your money and your work — every branch in one place

Staff clock in, pick up shifts and get their tasks on their own phones. You see cash on hand, expenses and revenue for each branch in one system, instead of gathering it from several.

Reach Ops Assistant
What's the exchange process for an online order?
From your company's Returns & Exchanges document: tags intact, receipt required, shift lead approves before the slip is issued. The assistant answers only from your own documents; if it isn't in them, it says so. [Open the source document]

Reach Ops does not replace the sales software you already run. That one handles orders and stock. Reach Ops handles your people, your cash, your tasks and your documents, with every branch in one place.

Every branch records it differently, and at month end you add it up by hand

Zalo, Excel, ledgers, KiotViet, Sapo, Misa… each holds a piece. No single place shows the whole picture.

Ask three people and you get three numbers
The till is short at close and nobody can point to where
Attendance on paper, shifts arranged in a chat group, payroll retyped from scratch

Why doesn't the old way work anymore?

Three common ways of doing it. Each falls short somewhere different.

Excel

Cheap, everyone already knows it

  • One file per branch, and nobody knows which is current
  • Anyone can edit it, and nobody sees who changed what
  • It never reminds anyone — you have to remember it all
  • Shop staff can't open it on a phone

Traditional ERP

SAP · Microsoft Dynamics · Oracle · Odoo

  • High cost, needs implementation consultants
  • Months before it's actually running
  • Thousands of features nobody uses
  • Changing one small process becomes its own project

A patchwork of SaaS tools

  • One tool doesn't talk to the next
  • A separate bill from each one, every month
  • You get whatever they add; ask for something and you wait
  • Staff type the same thing in two or three places

The work every trade has to do is already built: people, money, tasks, documents. The work specific to your trade, we write on top.

Start with two or three modules, not the whole package

You get the modules you switch on. Switch more on when you need them, switch one off when you don't, without rebuilding anything.

TasksAttendanceCashRevenue reconciliationDocumentsP&L

Turn on whichever you need first — there is no required order.

You don't pay for a module until you turn it on.

Six groups of work, built in

Turn a group on and it appears. A group you haven't turned on never shows up on your staff's phones, so nothing clutters their screen.

People & HR

GPS attendance per branch, with staff signing up for their own shifts. Hourly staff are paid straight from the timesheet; salaried staff take their fixed monthly figure plus any adjustments you enter. Employee reviews and a place for staff to raise things come with it.

Money & Finance

Cash on hand at each branch, who is holding how much, and how far off the count is at handover. Expenses, including the ones that repeat every month. Daily revenue per branch, and customer bank transfers matched against the statement — MB Bank format is built in, other banks we connect for you. One profit-and-loss statement for the whole company at month end.

Sales & Warranty

Counter sales, COD orders still open after 3 days flagged so someone calls, loyalty pricing looked up at the till, and warranty slips from drop-off to hand-back. On KiotViet, orders and products come across on their own; another sales package, we connect it for you.

Operations & Tasks

Tasks assigned per branch. The assignee sees what's due and what's overdue on their own home screen, and gets told 24 hours before the deadline. And a place for staff to report a problem instead of messaging a manager.

Documents & written procedures

Processes, work instructions and forms written inside the system. Each document opens only to the groups it's shared with. Type in the search box — it searches documents, tasks, warranty slips and cash entries together.

AI Assistant

Ask in plain language across your company documents; the answer comes with a link to the source. If the documents don't cover it, the assistant says so instead of guessing. While you're writing a document, it also drafts, shortens and fixes the grammar for you.

AI Assistant

Ask once, instead of going back through the chat groups

The assistant decides nothing on its own. It answers when someone asks, and it reads only the documents inside your system.

  1. 1

Someone at a branch hits a problem

  2. 2

They ask the assistant whether company documents already cover it

  3. 3

They don't, so a manager assigns it to someone

  4. 4

The system tells the assignee 24 hours before the deadline

  5. 5

Once it's sorted, that person writes up how they did it

  6. 6

The assistant drafts, tightens and fixes the grammar

  7. 7

It's filed in the company documents

  8. 8

The next branch with the same problem just asks

Is your team pasting company data into outside AI tools?

The Reach Ops assistant sits inside your own system and reads only the documents in it — nobody has to copy company material out to ask a question. The data protection page sets out who can see what, and where the data goes.

What Reach Ops looks like in daily use

These screens are rebuilt from the feature set a multi-branch retail chain uses every day. The figures in them are examples, not that customer's data.

Chain overview — revenue per branch, updated daily
GPS attendance — clock in at the right branch, no buddy-punching
Cash by branch — who holds it, whose shift is still open

Real business, real proof

Sport9 Vietnam, a multi-branch sporting-goods retail chain, runs more than 20 Reach Ops modules every day: attendance, cash, revenue reconciliation, P&L, counter sales, warranty, task assignment and work instructions.

See how Sport9 Vietnam runs on it

You choose where the data sits

We host it for you, or it runs on your own server. Either way, you can change that later.

We host it for you

Hosted and managed by ReachViet. Fastest to start, subscription pricing.

Best for: fast-moving businesses, no in-house IT

Your own cloud

Deployed on your own cloud account — Azure, AWS, DigitalOcean, VMware.

Best for: companies already on Azure or AWS with someone to run it

A server at your office

Runs entirely inside your own servers.

Best for: companies whose rules say the data can't leave the building

One computer in the shop

Installed on a single computer at the shop; staff use it over the local network.

Best for: small businesses, offline retail, factory floors

Cloud and on-site together

A server at head office, branches over the cloud. The syncing between the two is a tailored build — we write it to match the way you work.

Best for: multi-branch chains with patchy branch connectivity

Connects with the software you already use

No need to switch everything at once. Reach Ops connects to KiotViet, your accounting software, and your bank — data lands in one place instead of being typed in twice.

Running for real in week one, then a piece at a time

WEEK 1

Stood up on your real numbers

We go through how you work today, take the staff list and the branch list, and stand the system up on your real numbers inside the first week.

THEN

The next piece goes on

Week one runs attendance and cash. The week after, revenue reconciliation, then task assignment. You're using it for real while the rest is being built.

LOOP

You ask, we build

Message us directly, or file the request inside the system. No new project, no new contract.

ALWAYS

No upgrade window

We push the fixes and the new features to you. If the system sits on your own server, we schedule the update outside trading hours. There is nothing for you to plan months ahead.

Need a new feature? You don't need a whole new project.

The requests we get most sound like this: add a notes column to the warranty slip, or add an expense type specific to your trade.

Small changes usually done within 24 hours

What changes in your working day

The shift lead counts the till and closes it at handover, instead of it being chased at month end
Payroll is calculated straight off the attendance data, not retyped from another file
Yesterday's revenue for each branch is there for you to open, not something you ask someone for
A new hire reads the process in the system instead of being walked through it
When someone leaves, the process and their unfinished work stay in the system
A member of staff standing in the shop who forgot to clock in gets the nudge on their own phone — not from you
Opening another branch doesn't mean buying more software

What business owners ask us first

What you need to know before deciding — answered straight.

How is Reach Ops different from a traditional ERP like SAP or Odoo?

The difference is where you start. An ERP sells you the whole suite, and then the business bends its way of working to fit it. Reach Ops turns on the few modules you need first, running on your real numbers in the first week. The parts specific to your trade we write on top, to match the way you already work.

What does Reach Ops cost?

A fixed, public price by industry — see the full list on the Reach Ops pricing page, no need to call and ask. Never a fee per head: open as many branches as you like, the price you picked stays the same. Want your own infrastructure (your own server, your own cloud) or a process specific enough to need custom work? That's priced separately — get in touch and we'll talk it through.

How long until my business can actually use it?

The first week. Your part that week is showing us how you work today: the Excel files, the staff list, the branches and who is responsible for what. We handle the rest.

Where is my company's data stored?

Wherever you choose, and you can move it later: hosted by us, your own cloud account, a server at your office, or one computer in the shop. The AI assistant runs inside that same system, not as an outside service. The data protection page has the detail.

I already use KiotViet, Sapo or Misa — do I have to drop them?

No. KiotViet is already connected: orders, products and revenue come across on their own. Sapo, Misa or anything else, we connect for you — that part is a tailored build, not off the shelf. The way you sell stays exactly as it is; Reach Ops takes on the people, money, tasks and documents you're handling in Excel and chat apps today.

We're small — about 10 staff. Is this for us?

Yes. You only pay for the modules you turn on. Ten staff usually only need attendance, cash and task assignment; open another branch and you switch more on then.

My industry has very specific processes. Can Reach Ops handle them?

The parts every trade shares are already built: people, money, tasks, documents. The parts specific to yours — a production BOM, spa treatment packages, debt per project, customer bookings — we build for you and price separately. Pick your industry on the customize page to see what we'd suggest.

My staff aren't tech people. Will they actually use it?

Day to day, staff only need three screens: clock in, my shift, today's tasks. In their own language, on their own phone. Their profile, the documents and the suggestion box are all still there when they want them.

Reach Ops does three things

1

Whoever did the work enters it, once

The shift lead counts the till and closes the day. Next morning accounting opens the same number, with a record of who changed what. Nobody retypes it into another file.

2

Ask the assistant instead of asking around

Staff type the question in their own words. The assistant answers from your company's own documents and links the ones it used. A document that person isn't allowed to open is one the assistant won't pull either.

3

Build more when you need it

Every trade has work of its own: a production BOM, spa treatment packages, debt tracked per project. We write those parts for you, to match the way you already work.

Which modules do you actually need?

Pick your industry and the features you need, send your request — we'll get in touch, no consulting fee.
