Five sites running at once, and the money advanced to them no longer disappears

BROS E&C is a construction and M&E contractor in Hanoi. Money used to leave for a site and come back as a pile of receipts weeks later. Now who is holding how much, on which site, and what paperwork is still owed — you just open it.

The background

In this trade the money always goes out first. An advance to a foreman for materials, an advance to the crew, an advance for food and lodging when the site is out of province. The paperwork follows — sometimes weeks later, sometimes never. Accounting pieces it together from photos in a Zalo group and slips of paper in a work jacket. And the question that matters most — what has this site actually cost so far — cannot be answered until handover, which is far too late to do anything about it.

Every sum has a name on it and a site behind it

Each advance is recorded as it is paid: who took it, which site, how much. Whoever is holding it files the receipt from their phone with a photo. Who may approve what is set by the company, not open to everyone. Every correction leaves a trace, so the month-end figure stops being an argument. Workers clock in at the site from their own phone, and only inside the site's boundary — no more clocking in for a mate.

The result

The office knows how much cash each site is holding and who is holding it, the same day rather than at month end. Overdue paperwork is a list with names on it instead of a nagging feeling. Attendance across every site lands in one table and feeds payroll directly. And what only the foreman knew — the safety procedure, how each stage gets signed off — is written down; a new hire can follow it, and the AI assistant answers from those documents and links the source so you can check it.

In this trade the money goes out first and the paperwork follows. What a contractor needs is not a tidy report at month end — it is knowing today who is holding the company's cash and which site they are on.
